You may enter your qualifications correctly in an online form yet still need to prove them months later. Government recruitment can involve three different document checklists: information and uploads for the application, identification for examination day, and original certificates for document verification. Mixing these stages can mean scanning papers you do not need yet—or overlooking a certificate you will need later.

This guide helps you build a practical, notification-specific document kit. It does not claim that every employer accepts the same identity document, photo size, caste-certificate format or issue date. Start with the latest official notification and corrigendum; use the tables and tools below to prepare for what your particular recruitment actually requires.

Quick Answer

For a government job application, prepare the records needed to enter your name and date of birth, educational qualifications and any category, disability, experience or other claim you make. You may also need a photograph, signature or recruitment-specific uploads. Exam-day documents and final verification records are often different: check the admission certificate and verification call letter separately. The official notice decides exactly what is required, which proof is accepted, when a certificate must be valid and whether an original or a digital file is needed. Keep your submitted application and any payment or acknowledgement record for later stages.

Key Takeaways
  • Build three checklists, not one universal upload pack: application, exam day and document verification.
  • Copy every relevant detail from the accepted source document; do not rely on a remembered spelling, percentage or date.
  • A photo, signature, caste certificate or experience letter is required only when the relevant recruitment or stage calls for it.
  • Confirm the prescribed format, issuing authority, crucial date and any validity or financial-year rule for certificates.
  • Prepare the file type and size specified by the portal, and inspect the finished upload; a converter does not confer official acceptance.
  • Keep documents private. Do not type Aadhaar numbers, certificate numbers or personal details into a public checklist.

1. Understand which documents belong to which stage

A job notice may ask you to enter educational information in the form without uploading every marksheet. Later, an examination admission certificate can prescribe a particular photo ID. If you reach verification, the authority may ask for originals, copies, declarations and proof for every claim made in the application. Treat those as separate tasks.

StageTypical purposeAuthoritative checklist
Online applicationEnter correct details; upload prescribed photo, signature or supporting files if required.Current recruitment notification and live portal instructions.
Examination or interview dayEstablish identity and satisfy entry conditions.Admission certificate or interview instructions for that event.
Document verificationProve qualifications, age, category and other claims with original records or specified copies.Recruitment notice, amendments and the verification call letter.
Example

Official example, not a universal list: The SSC Selection Posts Phase-XIV/2026 notice calls for a live photograph during its application process and, for document verification, lists a matriculation certificate, post-specific education proof and additional documents where applicable. Its examination-day instructions also specify acceptable photo ID and conditional extra birth-date proof. These requirements belong to that specific 2026 recruitment, not every government job. See the SSC official notice.

For a flexible preparation aid, open the Government Job Document Checklist, select the stage, remove irrelevant example items and add only the document names mentioned in your notice. It is a personal checklist, not an upload portal or a verification service.

2. Identity and date-of-birth records: use the proof the notice accepts

Many application forms ask for your full name, parents' names, date of birth and ID details. Prepare the actual record named in the form instructions. Matriculation or secondary-school certificates are commonly used to verify birth-date information, but that does not make them the only acceptable proof for every recruitment or stage.

Record to locateWhat to cross-checkDo not assume
Matriculation/secondary certificate or other accepted age proofExact name, date of birth, parents' names where requested.Aadhaar or a birth certificate always replaces the notice's specified record.
Accepted photo IDName, photograph, validity and ID type permitted for that stage.A single ID type is mandatory across all recruiting authorities.
Application/profile recordSpelling, initials and date format match accepted documents. An informal correction or nickname will be accepted later.
Important Notice

Aadhaar is not a universal requirement for every government-job application. Use it only where the official portal or notice requires or accepts it, and do not circulate the number or scan unnecessarily. UIDAI explains masked Aadhaar, which hides the first eight digits, but use a masked copy only if the particular authority accepts it for the relevant purpose. See UIDAI's e-Aadhaar guidance.

If your name differs between school records and current ID, do not silently edit a certificate or guess which name to type. Check the authority's name-change and supporting-document instructions early; the necessary documentary trail varies with the circumstances.

3. Educational qualifications: prepare evidence for the specific post

Record the qualification actually required by the post: Class 10, Class 12, ITI, diploma, bachelor's degree, professional license or another credential. A general documents list cannot decide equivalence. If your qualification has a different name or is still awaiting its final certificate, the notice must explicitly permit the equivalent or provisional evidence you want to use.

Document Requirements
  • School-level posts: the required Class 10 or Class 12 certificate and marksheet, if specified.
  • Graduation or technical posts: relevant degree/diploma, semester or year marksheets, and specialization details required by the notice.
  • Professional posts: registration or license proof, internship evidence, trade certificate or similar post-specific documentation where notified.
  • Equivalent qualifications: a recognition or equivalence order if the authority asks for one; do not self-declare an unrelated qualification as equivalent.
  • Provisional or result-awaited status: check the qualification completion cut-off date and the exact proof the notice accepts.

If a form asks for a percentage, use the Percentage Calculator for straightforward marks arithmetic. If it asks you to convert CGPA, consult your institution's permitted conversion method before using the CGPA to Percentage Calculator. Neither tool verifies the recognition or acceptance of your qualification.

4. Category, relaxation and domicile certificates need their own rules

Category certificates are not interchangeable. The prescribed format, competent issuing authority, relevant category or sub-category, financial year and crucial date may differ by recruitment and benefit. A certificate that worked for one vacancy is not automatically suitable for another.

Claim in an applicationWhat to check in the notice
SC/STPrescribed community certificate, accepted issuer and any stage-specific submission requirement.
OBC / non-creamy layerRelevant central or state list, prescribed certificate/declaration, creamy-layer condition and crucial date.
EWSIncome-and-asset certificate format, applicable financial year, and the notice's timing rules.
PwBD / scribe supportPrescribed disability certification, relevant subcategory, and separate scribe/compensatory-time papers where applicable.
Ex-servicemen / government employeesService or discharge papers, employer certificates, declarations or NOC where the notice requires them.
Domicile / residenceThe state or recruiting body's specific definition, issuing authority and acceptable record.
Candidate Note

Important distinction: A category's crucial date does not always mean that every certificate must have been issued before the application closes. For example, SSC's 2026 Selection Posts notice explicitly distinguishes the date on which a candidate must meet a category condition from the issue date of certain certificates, and sets a specific EWS financial-year requirement. Apply those details only to that closed SSC recruitment; read the current notice for your own case. Official SSC notice.

5. Experience, employment and other special documents

Some posts require relevant work experience; many entry-level jobs do not. If experience is essential, read the notice's rules for type of work, full-time or other status, start and end dates, and required employer evidence. A generic certificate that lists only a job title may not establish the duties or period the authority requires.

Document Requirements
  • Experience certificate: check required duties, dates, employer identity and signature or seal when specified.
  • No Objection Certificate: prepare only when the applicable employment or recruitment rule requires one; do not assume every currently employed applicant needs it.
  • Professional registration: verify that the registration or licence is current if the post requires it.
  • Name-change proof: locate the appropriate legal records where your accepted documents differ and the notice provides a way to reconcile them.
  • Additional specialist records: sports, apprenticeship, language, local residence, disability support or another benefit may require their own documents.

Use the Work Experience Calculator to organise dates when an authority asks for a service period. It does not judge whether work qualifies under the notification. The dedicated Government Job Eligibility and Age Limits guide explains how the relevant cut-off dates are used.

6. Photograph, signature and special upload rules

Do not follow an online claim that every government form needs the same passport-photo dimensions or a universal 20–50 KB signature. Read the notice or actual portal field for permitted format, dimensions, file-size range, background, framing and signature instructions. Some recruitment portals capture a live photograph instead of accepting an existing file.

  1. Record the rule for each field. Photograph, signature, thumb impression and declaration, if requested, can have different requirements.
  2. Prepare the correct original. Take a clear photograph or write a legible signature on the background specified in the notice; do not substitute a cropped ID photo or a picture of an existing photograph if live capture is required.
  3. Convert only when permitted. Use the Photo Resizer for an existing photo, the Signature Resizer for the signature, or the Image Compressor when the portal requires a smaller file.
  4. Preview before submission. Confirm that the right file is in the right field, text and strokes are legible, the face is visible, and the portal accepts the file.

7. Convert PDFs and JPGs only when the portal asks for them

A scan is useful only if its format and legibility match the actual upload field. Some authorities request PDFs for certificates, others accept JPG/JPEG, and some do not request these uploads at application stage. Choose the output after reading the requirement, not before.

Actual portal requirementRelevant preparation option
Convert a permitted PNG or WebP scan into JPG/JPEGImage to JPG
Combine permitted JPG pages into a PDFJPG to PDF
Produce a JPG from a permitted PDF pagePDF to JPG
Reduce an existing photo or scan's file sizeImage Compressor

A conversion can change image clarity, page orientation or text legibility. Open the final downloaded file before uploading it. Never crop out certificate names, seals, QR codes or other details that the recruiting authority needs to read. Do not alter a document's contents to make it appear eligible.

Important Notice

The tools help prepare files; they do not authenticate a document or guarantee official acceptance. Avoid uploading sensitive IDs and certificates to unfamiliar third-party converters. Use the authority's official portal for required submissions, and follow its instructions about permissible modifications and digital signatures.

8. Create a secure folder that is easy to update

Keep an original archive separate from application-specific working copies. An archive reduces repeated scanning, but it must be private and protected—especially if it contains IDs, birth dates and certificates. Do not send the whole archive to a recruiter when only one document is requested.

Example

Illustrative folder workflow: Keep an offline folder named original-records and a separate folder for a specific application. Copy only the requested files into that application's folder, give them non-sensitive descriptive names such as photo.jpg, signature.jpg or degree.pdf, and keep the submitted confirmation in another folder. These are personal organisation examples, not names or formats prescribed by an authority.

Check every update or corrigendum for changes to upload rules. If a correction is needed in a certificate, use the issuing authority's legitimate correction process; do not edit the scanned certificate to conceal the mismatch.

9. What to carry on examination day

The examination-day list often differs from the online-upload list. Download and read the current admission certificate for your exam rather than relying on an older call letter or someone else's experience. Check the specified identity proof, photograph count, permitted supporting certificate, reporting time and any provisions for a scribe or accommodation.

Checklist
  • Current admission certificate or call letter obtained from the authorized portal.
  • Accepted original photo ID ready, with any separate date-of-birth proof if the instructions require it.
  • Any required photographs or declarations prepared to the exact instructions.
  • Any permitted accommodation or scribe documentation confirmed, if applicable.
  • Prohibited objects and venue-specific rules reviewed before travelling.

The SSC 2026 notice is a useful example: where the candidate's photo ID does not show the date of birth, it sets an additional birth-date proof condition for certain candidates. That exception-rich rule is not a general instruction for every examination. Read the SSC instructions.

10. Prepare originals and copies for document verification

At verification, officials may compare the information in the form with originals and prescribed copies. Carry only what the verification call letter and recruitment notice demand; it may also ask for additional post-specific records. Check whether self-attestation, photographs, translations or a particular number of copies is required.

Document Requirements
  • Matriculation or other accepted date-of-birth evidence and qualifications relevant to the post.
  • Original category, disability, experience, service or other benefit certificate if you claimed that benefit and the notice asks for it.
  • Submitted application, admit card, verification call letter or photo ID, if required for that stage.
  • Post-specific equivalence, registration or name-change documents where applicable.
  • The prescribed number and format of copies, declarations and photographs in your current call letter.

For illustration, the older RRB NTPC undergraduate CEN 06/2024 explicitly called for originals and two sets of self-attested photocopies at document verification. Do not assume the same copy count in another railway recruitment or a different authority.

11. Final personalised document-checking worksheet

Checklist
  • I have read the latest official notification, relevant annexures and corrigenda.
  • I identified the application, exam-day and verification requirements separately.
  • My name, parents' names where requested, and birth date match the accepted records.
  • I meet the qualification cut-off and have the evidence the notice permits.
  • Each certificate for a claimed benefit uses the correct format, issuer and relevant date.
  • The uploaded photo/signature and any other files pass the portal's own preview and instructions.
  • I saved the final submitted application, reference number and receipt when available.
  • I can locate the original records and prescribed copies for later verification.
Useful Tool

Build your own stage-by-stage preparation list in the Government Job Document Checklist. Select the current stage and customise the example items against your notification. Keep actual ID numbers and private documents out of the checklist.

Frequently Asked Questions

Are Aadhaar and a PAN card compulsory for every government job application?

No. Prepare the identity documents that the particular notice or official portal accepts. A requirement in one recruitment does not automatically apply to all others.

Do I have to upload every educational certificate while applying?

Not always. Some portals collect details first and inspect originals later; others require scans during the application. Check the relevant upload instructions and verification call letter.

Is a provisional degree certificate accepted?

Only if the recruiting authority's rules permit it and you meet the qualification cut-off. Do not assume a result-awaited candidate qualifies or that every provisional certificate is acceptable.

Can I use the same OBC or EWS certificate for every recruitment?

Not automatically. The accepted format, competent issuer, relevant status date and—in some cases—financial-year condition differ. Apply the exact rules in the current notice.

What if my name or date of birth differs across documents?

Check the official instructions for accepted source records and permitted name-change or correction evidence. Contact the issuing authority or recruiting helpdesk if needed; do not modify a certificate image yourself.

Can I use a photo resizer if the application requires live photography?

No. An edited existing photograph cannot replace a mandatory live-capture step. Use the official portal's camera workflow in that case.

How many photocopies must I take for document verification?

The quantity is notice- and call-letter-specific. Some recruitments specify two self-attested sets, but there is no safe universal number.

Can Regal Naukri's checklist or converter verify my documents?

No. These tools help you organise and prepare files. Only the recruiting authority can decide whether the submitted evidence meets the recruitment requirements.

The most useful document kit is specific to one recruitment and one stage. Read the latest notice, organise reliable source records, prepare only the permitted files, and preserve proof of your actual submission. Before exam day or verification, read the new call letter again: what you must bring can change between stages. Use the Applications & Exams tools when they match a real step you need to complete.
